Overview

Medical dispensaries often run with one person behind the counter. That person handles checkout, prescription checks, purchase limits, and inventory, usually at the same time. We redesigned this retail POS system so a single staff member can do all of it from one tablet, with compliance checks built into each step rather than bolted on. Transactions move faster, the interface itself enforces the regulatory workflow, and new hires get productive without a long training period.

The Challenges

We needed to design a POS system that helped store owners stay compliant while monitoring operations in real time. The platform had to support workflows for regulated products, track prescriptions, and protect sensitive customer data. With just one staff member on duty, the interface had to guide them through everything: checkout, inventory, and prescription validation without needing to switch tools. It also had to minimize training and support daily tasks with clear visual prompts, product location hints, and built-in compliance checks.

Our Approach

To ensure the final design matched real-world needs, we followed a structured UX process:

  • Stakeholder Interviews: We spoke with store owners and managers to understand operational goals, pain points, and compliance concerns.
  • User Research: We observed how store staff completed everyday tasks to identify usability challenges and workflow inefficiencies.
  • Persona Definition: We created user personas, such as solo operator, cashier, and inventory manager. This helped us design clear, focused experiences for each user type and align UI design decisions.
  • Competitor Analysis: We reviewed existing cannabis POS systems to identify gaps and opportunities for differentiation.
  • Regulatory Constraints Review: We mapped out legal requirements for prescription tracking, patient limits, and data privacy to ensure compliance was built into every flow.

Mobile-Optimized for Tablets

The UI was tailored for tablets, allowing staff to move freely and operate the system from anywhere in the store. Every screen was touch-optimized, with large tap zones and minimized keyboard input.

 

Designed for Single-Staff Operation

The interface was carefully crafted to support solo operators. It guided one person through all store activities including checkout, inventory management, and prescription handling. The system offered clear, context-aware prompts to help staff smoothly transition between roles and allowed small stores to run efficiently with minimal personnel.

We introduced smart prompts that walked staff through tasks like restocking, locating items, and checking quantities. The interface also made it easy to manage prescriptions, purchase limits, and refill status. All of this was built into a clean, intuitive layout.

 

Prescription Handling and Renewals

The design allowed staff to verify prescriptions and doctor approvals directly at checkout without disrupting the flow. The process stayed fast and compliant and removed extra steps for both employees and customers.
